1. General Terms

Romanof Transfer provides private transfer and premium transfer services in Athens and mainland Greece. Romanof Transfer explicitly distinguishes its services from taxi services; the client acknowledges and fully understands this distinction. These terms and conditions govern the relationship between Romanof Transfer and its clients, as well as the drivers operating under our platform. By booking a service with Romanof Transfer, the client automatically agrees to these Terms of Service. Please read them carefully before making a reservation.

2. Booking and Payment

2.1. Bookings can be made online via our website or by phone.

2.2. Full prepayment is required at the time of booking. Partial payments are not accepted.

2.3. Final Pricing: The price quoted and confirmed at the time of booking is the final price for the transfer service. This price is comprehensive and, except as explicitly stated below, will not be subject to any additional or hidden charges.

2.4. Price Inclusions: Unless otherwise specified, the quoted price includes:

  • Fuel costs
  • Toll road fees
  • Driver’s remuneration
  • Internet access within the vehicle (where available)
  • Vehicle cleaning and maintenance
  • Complimentary beverages (where provided)

2.5. Price Exclusions: The quoted price does not include:

  • Entrance fees to archaeological sites
  • Museum admission tickets
  • Entry fees to other attractions

2.6. Price Changes: While prices are fixed at the time of booking, Romanof Transfer reserves the right to adjust pricing for future bookings due to significant changes in operational costs (e.g., substantial fluctuations in fuel prices, changes in taxes or regulations). Any price changes will be communicated on our website and will not affect existing, confirmed bookings.

3. Cancellation and Refund Policy

3.1. Free cancellation is available up to 24 hours before the scheduled trip.

3.2. Cancellations made less than 24 hours but more than 12 hours before the trip will result in a 50% charge.

3.3. Cancellations made less than 12 hours before the trip or no-shows are non-refundable.

3.4. If the driver is late by more than 30 minutes (unless due to force majeure, as defined in section 5), the client is eligible for a full refund.

4. Waiting Time, Stops, and Additional Charges

4.1. Free waiting time applies only before the trip commences:

  • 60 minutes at the airport, calculated from the actual arrival time of the flight (based on publicly available flight tracking information).
  • 15 minutes at other designated pick-up locations.

4.2. If the client requests a stop during the trip (e.g., visiting a store, restaurant, or bank), a charge of €1.5 per minute will apply. The driver reserves the right to refuse stops that significantly deviate from the agreed-upon route or compromise the schedule for other passengers.

5. Liability and Force Majeure

5.1. Force Majeure Definition: Force majeure includes, but is not limited to, natural disasters (e.g., earthquakes, floods, fires), extreme weather conditions, strikes, civil unrest, government restrictions, pandemics, war, terrorism, or any other events beyond Romanof Transfer’s reasonable control. In such cases, Romanof Transfer is not liable for delays, cancellations, or failure to provide services. We will make reasonable efforts to inform the client and offer alternative arrangements where possible.

5.2. Romanof Transfer is not responsible for delays caused by traffic congestion, unpredictable weather conditions, actions of third parties (e.g., other drivers), road closures, or any other factors beyond our direct control.

5.3. If a trip is canceled solely due to the company’s fault (e.g., vehicle breakdown, driver unavailability not due to force majeure), the client will receive a full refund.

5.4. The driver may, at their discretion, adjust the route if necessary to ensure passenger safety or to avoid significant traffic congestion. The driver will make reasonable efforts to inform the client of any route changes.

5.5. Luggage Responsibility: Romanof Transfer and its drivers are not responsible for lost, damaged, or stolen luggage or personal belongings during the trip, unless the loss or damage is directly and verifiably caused by the driver’s gross negligence. Clients are responsible for ensuring their belongings are secure during the trip. We strongly recommend not leaving valuables unattended in the vehicle.

5.6. Passenger Insurance: All vehicles operating under Romanof Transfer are required to have valid insurance that covers passengers in case of accidents, as mandated by Greek law. However, Romanof Transfer recommends that clients obtain their own comprehensive travel insurance for additional protection against unforeseen circumstances.

5.7. If the client deliberately soils the vehicle (e.g., with food, drinks, or excessive dirt), a cleaning fee of at least €100 will be charged to cover the costs of professional cleaning. The exact amount will depend on the extent of the damage.

6. Passenger Conduct

6.1. Smoking is strictly prohibited in all vehicles.

6.2. Consumption of alcoholic beverages and food is generally not allowed in the vehicle, except when beverages are provided by the driver as part of an explicitly pre-booked additional service or welcome package. Bringing and consuming personal alcoholic beverages without the driver’s explicit consent is forbidden.

6.3. The driver has the right to refuse service without a refund to passengers who are visibly intoxicated, behaving aggressively, or posing a safety risk to themselves, the driver, or the vehicle.

6.4. The passenger is financially responsible for any damage to the vehicle caused by their actions or the actions of their travel companions, and must cover the full repair or replacement costs.

6.5. Children and Special Requirements: Clients must inform Romanof Transfer at the time of booking if they are traveling with children requiring child safety seats or if they have special accessibility needs (e.g., wheelchair access). While we strive to accommodate such requests, availability is not guaranteed and may incur additional charges. It is the responsibility of the client to ensure the correct and legal use of child safety seats. Children under 12 must be accompanied by a responsible adult at all times.

6.6. Additional Services and Welcome Packages: Romanof Transfer may offer additional services, such as welcome packages that include beverages (alcoholic or non-alcoholic), snacks, or other amenities, upon request. These services must be booked and paid for in advance and may incur additional fees, which will be clearly communicated at the time of booking.

6.7. Vehicle Capacity: The number of passengers must not exceed the vehicle’s legal seating capacity as specified at the time of booking. Overloading the vehicle is strictly prohibited for safety and legal reasons, and the driver may refuse service without a refund if the number of passengers exceeds the agreed-upon limit.

6.8. Right to Refuse Service: Romanof Transfer reserves the right to refuse service to any client who violates these Terms of Service, poses a safety risk, engages in illegal activities, or exhibits disruptive or inappropriate behavior. In such cases, no refund will be provided.

7. Driver Partnership Program

Romanof Transfer operates a platform that connects clients with independent drivers who own their vehicles and possess the necessary legal work permits and licenses (e.g., eleftheros epaggelmatias or other legally recognized business structures in Greece) to provide transportation services.

7.1. General Rules for Drivers:

  • Drivers must possess and maintain valid insurance, professional licenses, and all necessary permits required to operate legally as a transportation provider in Greece.
  • The vehicle provided by the driver must be clean, well-maintained, and comply with all relevant safety standards and regulations.
  • Drivers are expected to be punctual, professional, and courteous in their interactions with clients at all times.
  • Any disputes that may arise between the driver and the client are to be resolved directly between those parties. Romanof Transfer acts solely as a booking platform and intermediary and is not responsible for the resolution of such disputes.

7.2. Liability and Responsibilities:

  • Romanof Transfer is not responsible or liable for the driver’s actions, the condition of the driver’s vehicle, or any incidents (accidents, damages, etc.) that may occur during the course of a trip.
  • The driver bears full responsibility for any accidents, damages, traffic violations, or other legal liabilities that may arise while operating their vehicle.
  • In the event of persistent or serious customer complaints regarding a driver’s service, Romanof Transfer reserves the right to suspend or remove the driver from the platform.

7.3. Payment and Commission:

  • Drivers agree to pay a commission fee to Romanof Transfer for each completed booking facilitated through the platform. The specific commission rate will be outlined in the agreement between Romanof Transfer and the driver.
  • Payments to drivers for completed trips will be processed according to the payment terms and schedule agreed upon between Romanof Transfer and the driver.

7.4. Driver Data:

  • Romanof Transfer collects personal information from drivers (e.g., name, contact details, vehicle information, license and permit details) to manage the driver partnership program and facilitate bookings. The collection, use, and protection of this data are governed by our [Privacy Policy](insert link to Privacy Policy page).

8. Legal and Dispute Resolution

8.1. Governing Law: These Terms of Service are governed by and construed in accordance with the laws of Greece.

8.2. Jurisdiction: Any disputes arising from or relating to these terms or the use of our services shall be subject to the exclusive jurisdiction of the competent courts in Athens, Greece.  

8.3. Alternative Dispute Resolution: In the event of a dispute, Romanof Transfer encourages clients to first contact our customer support team at romanoftravelinfo@gmail.com to attempt to resolve the issue amicably. We are committed to finding fair and reasonable solutions. If an amicable resolution cannot be reached, either party may pursue legal action in the courts of Athens, Greece, as outlined above.

8.4. Modification of Terms: Romanof Transfer reserves the right to modify or update these terms and conditions at any time without prior notice. Any changes will be posted on our website, and it is the client’s responsibility to review them periodically. Continued use of our services after any changes constitutes acceptance of the modified terms.
